Partner terms for contractors

The rules every installer agrees to before receiving RebateHub quote requests or buying a sponsored placement. They protect homeowners who trusted us with their details, and the reputation of every honest installer on the list.

What these terms cover

These partner terms apply to every business (“partner”, “you”) that receives homeowner quote requests (“leads”) from RebateHub or buys a sponsored placement or a monthly plan. They form part of your signed partner agreement and order form. If those documents conflict with these terms, the signed agreement prevails, but it can never lower the privacy, anti-spam and conduct standards below.

Operator
1001413013 Ontario Inc. (operating RebateHub.ca)
Mailing address
250 Consumers Rd, Suite 611, North York, ON M2J 4V6, Canada

Partners in Québec receive a French version of the agreement and these terms before they sign.

Who can be a partner

  • A business in good standing that holds every licence its work requires (for example TSSA, ESA, RBQ, a provincial electrical or gas licence, or a municipal business licence).
  • Registered or participating with each rebate program you quote on, where the program requires it, and accurate about which programs you are registered with.
  • Commercial general liability insurance and, where required, workplace safety coverage, with proof on request.
  • You tell us within 5 business days if a licence, registration or insurance policy lapses, is suspended or changes.

How leads work

  • Every lead comes from a homeowner who ticked an unticked consent box agreeing to be contacted by phone, text or email by up to 3 independent installers about that project. We record the exact wording, version, language, date and time, and can give you that record for any lead.
  • Your order form says whether your leads are exclusive, first look or shared with up to 3 partners. We sell one exclusive or first-look partner per postal area and trade; shared partners there only get those leads once that partner reaches its monthly cap or pauses.
  • Partners on a monthly plan receive matching leads in their postal areas ahead of shared pay-per-lead partners, until their plan’s leads for the month are delivered. We don’t sell a Starter or Growth plan in a postal area and trade that an exclusive or first-look partner holds. Every other rule here (the consent cap of 3, service areas, monthly caps, listed-installer rules) applies to plan leads too.
  • Where a rebate only pays when a listed, registered or participating contractor does the work, leads that depend on it only go to partners we have checked on that program’s official list. Tell us when you join or leave a list.
  • We never sell you lists, scraped contacts or leads collected without consent.
  • We don’t share a homeowner’s answer about income-tested programs unless they ask us to.

Using homeowner information

Use a lead only to respond to that homeowner’s request: contacting them, preparing a quote, scheduling and doing the work they hire you for, and the rebate paperwork for that work. You may not:

  • resell, share, rent or trade leads, or pass them to another company (including affiliates or subcontractors) without the homeowner’s express consent;
  • add homeowners to marketing lists, newsletters or advertising audiences (for example custom audiences on social or search platforms);
  • combine leads with other data to build profiles, or use them to train or test software;
  • contact a homeowner about unrelated products or services unless they give you their own consent.

Contacting homeowners

Every message and call

  • Say who you are and that the homeowner asked for quotes through RebateHub.ca.
  • Never say or suggest that you, or RebateHub, work for or are approved by a government or utility.
  • Use only the contact method the homeowner chose. If a lead says “Email only”, don’t call or text unless the homeowner later asks you to in writing.
  • If the homeowner asks you to stop, stop: by email, text and phone.

Email and text (Canada’s anti-spam law)

  • Each email or text must identify your business, state that RebateHub.ca obtained the homeowner’s consent, include your mailing address and a phone number, email or web address, and include an unsubscribe mechanism that works for at least 60 days. For texts, replying STOP must work.
  • The unsubscribe must also reach RebateHub: forward every withdrawal to privacy@rebatehub.ca within 2 business days, and give effect to it without delay and always within 10 business days.
  • Your first messages should stick to the quote the homeowner asked for. Ongoing marketing needs the homeowner’s own consent or an existing business relationship with you as defined by the law.

Phone calls (CRTC telemarketing rules)

  • Call only the number provided, only about this request, and only within the hours the CRTC’s Unsolicited Telecommunications Rules allow (9:00 a.m. to 9:30 p.m. on weekdays, 10:00 a.m. to 6:00 p.m. on weekends), in the homeowner’s time zone.
  • Keep your own internal do-not-call list, even for calls that are exempt from the National Do Not Call List: add a homeowner within 14 days of their request and keep them on it for at least 3 years.
  • No automated or prerecorded calls, and no robocalls or auto-texts, without the homeowner’s separate express consent.
  • Display a working caller ID.

Conduct and honest claims

  • No door-knocking. No door-to-door or unannounced in-person visits to RebateHub homeowners. Visit only at a time the homeowner agreed to, and follow provincial door-to-door and itinerant-merchant rules (for example Ontario’s restrictions on door-to-door contracts for furnaces, air conditioners and water heaters, and Québec’s itinerant-merchant permit and cancellation rules).
  • No government impersonation. Don’t use government or utility logos, names or language such as “official”, “government program representative” or “approved by the government”. You may state a program registration you actually hold, in the program’s own words.
  • Honest rebate claims. Say “up to” for maximums and explain who qualifies. Never promise approval, an amount or a deadline the program hasn’t published, never charge a fee to “apply” for a government rebate, and put any arrangement to receive a rebate on the homeowner’s behalf in writing first.
  • No pressure tactics. No false urgency, no misleading claims about savings or the environment that you can’t back up, and clear written quotes with cancellation rights where the law gives them.

Protecting personal information

Once you receive a lead, you are responsible for it under Canadian privacy law (PIPEDA, and Québec’s private-sector privacy law for Québec residents, or the provincial law that applies to you). In particular:

  • Protect leads with safeguards suited to personal information: limited staff access, unique logins with two-step sign-in, and no sharing over unsecured channels.
  • Keep a lead only as long as needed for the request. Delete leads that didn’t become customers within 24 months, and any lead within 10 business days when the homeowner or we ask, then confirm deletion to us in writing.
  • Help us answer a homeowner’s access, correction or deletion request within 10 business days.
  • If you use service providers to store leads, make sure they protect them to the same standard.

Breaches and complaints

  • Tell us at privacy@rebatehub.ca without delay, and within 72 hours of discovering it, about any loss of, or unauthorized access to or disclosure of, RebateHub leads. Include what happened, which leads, and what you’ve done.
  • Cooperate with us to reduce harm and to notify people and regulators where the law requires.
  • Forward any complaint from a RebateHub homeowner to us within 2 business days.

Sponsored placements

  • Placements are always labelled “Sponsored” and link out as sponsored links (rel="sponsored"). They never appear inside program lists or change their order.
  • We approve placement text before it goes live. Claims must be true and backed up, including any savings or environmental claim, and program registrations must be current.
  • Sponsors have no say over our editorial content, program data or rankings.

Fees, credits and billing

  • Prices are published at rebatehub.ca/for-contractors#pricing and confirmed in your order form. They are in Canadian dollars, plus applicable taxes.
  • Founding rates apply to partners who sign by December 31, 2026 (up to 3 per trade in each metro) and are locked for 12 months from signing. Founding partners’ first qualified lead is free.
  • A shared lead goes to no more than 3 installers (2 energy advisors for assessment requests). A first-look lead is yours alone for 4 working hours (8 a.m. to 8 p.m. Toronto time, Monday to Saturday); after that it may go to up to 2 more installers. An exclusive lead goes to you alone. A lead with several upgrades costs the price of the highest-priced trade you serve on it. A lead with no phone number (the homeowner asked to be contacted by email only, or didn’t give one) costs half that price.
  • Report a bad lead within 72 hours of delivery, and before you send a quote, and we’ll credit it after a quick check: wrong or disconnected phone (or a bounced email on an email-only lead), a duplicate of a lead you received in the last 30 days, outside the service area you set, a trade you didn’t choose, or a homeowner who doesn’t own the home or says they never asked. We don’t credit leads that didn’t become a job, price shoppers, or homeowners you couldn’t reach after one attempt.
  • Valid credits up to 10% of your paid leads in a month are applied automatically; above that we review each one with you. Credits go on your next invoice or back into your prepaid balance, and they don’t expire while your account is open.
  • For your first 60 days we invoice weekly, payable within 7 days. After that, leads are paid from a prepaid balance (minimum top-up $250, or $100 for insulation-only, EV-charger-only and energy-advisor accounts). When the agreement ends, we refund any unused prepaid balance.
  • You choose your service area, trades, lead type and a monthly lead cap. You can pause leads by email; the pause takes effect within 1 business day.
  • We give at least 30 days’ notice by email before any price change. A change never applies to leads already delivered, and founding rates stay locked for their 12 months.
  • Sponsored placements are billed monthly in advance and renew month to month until you cancel; a placement ends at the close of the month you’ve paid for. Founding placement prices are locked for 12 months while the placement stays active. If you ask during your first month, we refund it.
  • On pay per lead we don’t guarantee a number of leads. On a monthly plan, our only promise about volume is the one in “Monthly plans” below: you don’t pay for plan leads we don’t deliver. We never guarantee a response rate or that any homeowner will hire you.

Monthly plans

  • A plan is a monthly fee for a set number of leads (the “allotment”) of one trade and lead type, in the postal areas on your order form. Plans and their fees are published at rebatehub.ca/for-contractors/plans. Each plan month starts on the day you subscribed and renews on the same day each month.
  • You pay only for leads we deliver. At the end of each plan month, every lead of your allotment we didn’t deliver is credited at your plan’s per-lead price (the monthly fee divided by the allotment) against your next month. If the plan ends, that credit is refunded to you in cash within 30 days. A lead with no phone number counts as half a plan lead. Days you pause count the same way: undelivered leads are credited.
  • Leads we credit under “Fees, credits and billing” (reported within 72 hours) don’t count toward your allotment: we deliver another or credit it at the end of the month.
  • Your plan stops at its allotment unless you ask us in writing for a higher monthly cap. Leads above the allotment are then billed at your plan’s per-lead price (half for a lead with no phone number) on your next invoice.
  • Plan fees are billed monthly in advance by card through Stripe and renew month to month, into the same plan at the same fee, until you cancel. We email you at least 7 days before each renewal with the renewal date, the amount, the leads delivered so far and how to cancel. We never move you to a different plan or fee without your written agreement, and fee changes follow the 30-day notice rule above.
  • Cancel any time from the link in your Stripe receipt or by email to hello@rebatehub.ca. There is no minimum term and no cancellation fee. The plan ends at the close of the plan month you’ve paid for, and you keep receiving that month’s leads until then. Cancelling a plan doesn’t end the partner agreement unless you say so.
  • Founding partners pay the founding plan fee, locked for 12 months while the plan stays active. Their free first qualified lead comes on top of the allotment.
  • After you subscribe online we confirm your postal areas, licences and program registrations before plan leads start. Leads we couldn’t send while we checked are credited like any other undelivered lead, and if we can’t serve the areas you chose, we refund the fee in full.
  • Pro plans deliver first-look leads and count as the one first-look partner for each of their postal areas and trade. We confirm those areas are free before taking payment.
  • We only sell a plan where the requests we’ve measured can fill it. If demand in your areas falls so far that we expect to miss your allotment two months running, we tell you and you may cancel at once with a refund of the unused part of the month.

Monitoring and enforcement

We review homeowner feedback and complaints and may ask for evidence of how you handle unsubscribes, do-not-call requests and deletions. If you break these terms we may pause leads, withhold credits for the affected leads, remove a placement or end the agreement. We end it immediately for door-knocking, government impersonation, reselling leads or ignoring withdrawals of consent.

Liability

You are responsible for your work, quotes, contracts and conduct with homeowners, and for complying with the laws that apply to you. You agree to compensate RebateHub for claims, fines, losses and reasonable legal costs caused by your breach of these terms or of the law. To the extent the law allows, RebateHub’s total liability to you is limited to the fees you paid in the 3 months before the claim, except for liability that can’t be limited by law.

Term, termination and changes

  • Either of us can end the agreement on 30 days’ written notice, or immediately for a serious breach.
  • When it ends, stop using leads that haven’t become customers and delete them within 30 days. Your obligations on privacy, deletion and incidents continue.
  • We may update these terms with 30 days’ notice by email. Changes needed to comply with the law may take effect sooner.

Governing law and contact

These terms and the partner agreement are governed by the laws of Ontario and the federal laws of Canada that apply there, and the courts of Ontario have jurisdiction, unless the law of a partner’s province requires otherwise. Questions: hello@rebatehub.ca. Privacy, consent and incidents: privacy@rebatehub.ca.
